Legal Operations Coordinator

Cooley is seeking a Legal Operations Coordinator to join the Legal Service Delivery team.

Position summary: Under the direction of the Director of Practice Innovation, the Legal Operations Coordinator will provide administrative support to the Innovation department leadership team. Specific duties include, but are not limited to:

Position responsibilities:

  • Develop proficiency with innovation department processes technologies to support the needs of the department
  • Facilitate cross function collaboration and task management
  • Provide administrative support to the innovation leadership team, including, but not limited to expense and invoice entry, meeting and event coordination (including reserving conference rooms and arranging catering, as needed)
  • Conduct research related to innovation department change management efforts, including gathering information about use cases, peer firm activities, client activities, and other relevant data as requested by innovation department leadership
  • Assist in producing and distributing collateral for innovation change management efforts
  • Assist in creating and maintaining intranet and other digital content related to innovation change management efforts
  • Compile and prepare metrics and narrative reporting as necessary to support leadership presentations
  • Prepare and compile data necessary for regular reports related to the innovation department's compliance and governance obligations. Ensure proper record keeping in connection with certifications and any relevant audits
  • Assist with budget reporting as requested by innovation leadership
  • Develop and/or update various administrative forms and create and maintain files
  • Maintain and audit various department reports and charts, including bar membership, headcount status, deemed/hired, law school and prior employment, sponsorships and events, clerkships, and marketing materials and branded giveaways
  • Maintain central files and department playbooks
  • All other duties as assigned

Skills and experience:

Required:

  • After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications
  • Available to work overtime, as required
  • 2+ years direct related experience (e.g., administrative with experience in activity reporting)

Preferred:

  • Bachelor's Degree
  • Experience in a professional services environment

  • Ability to work independently and as part of a team in a fast-paced environment for multiple supervisors, meet deadlines and maintain flexibility with work assignments (including changes in timekeeper assignments) and work schedule
  • Ability to organize and prioritize work assignments, as well as delegate tasks to service departments when necessary
  • Must demonstrate initiative, diplomacy, and tact
  • Possess excellent written, communication and proofreading skills with attention to detail
  • Ability to function in a professional and polite manner when dealing with clients, co-workers, court personnel and others
  • Reliable, committed, and punctual

The expected hourly pay range for this position with a work schedule of 40 hours per week is $28.00 - $41.00 ($58,240.00 - $85,280.00 annually). Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
