The Office Administrative Services Coordinator (OASC) provides a welcoming, efficient, and helpful environment for students, staff, faculty, and University constituents who visit, call, or email the Office of Recreational Sports (RecSports). This includes answering and triaging questions via office visits, phone calls, and emails and offering first-line support for RecSports users and participants. Primary responsibilities for the OASC include coordinating the employment processes for hourly employees, administrative oversight of departmental payroll, and facilitating purchasing processes. Additionally, the OASC directly supports the Assistant Director for Communication and Engagement and the Director, Associate, and Assistant Directors by managing calendars and scheduling meetings. The OASC will also be responsible for assisting with planning staff meetings and events by reserving rooms, ordering food, and being on-site.
This position is fast-paced and multifaceted, serving a diverse office of 20+ full-time professionals and over 400 student, part-time, and temp/on-call staff. The OASC is an in-person role that reports to the office Monday through Friday. The OASC is a full-time, 12-month position, reporting to the Assistant Director for Communication and Engagement in RecSports.
ESSENTIAL DUTIES & RESPONSIBILITIES
RecSports Personnel Management
- Coordinates necessary paperwork and electronic forms for all 1000+ hourly employee positions, which includes student employment, temporary on-call/temporary employment, and non-exempt staff.
- Maintains the RecSports employment records, including the hiring, separating, and promoting of all RecSports staff positions.
- Initiates separation procedures, updates RecSports hiring records, and manages removal from Student Employment Tool and Personnel Actions programs.
- Serves as the liaison between RecSports, Student Employment, and University Human Resources/Payroll with procedural changes and ensures the continuity of employee data.
- Initiates new non-student employee background checks and other needs in collaboration with University Human Resources and HireRight.
- Keeps an accurate inventory of employee uniforms; assists in distributing uniforms to new and promoted employees, including shirts, nametags, and other uniform items consistent with each new employee
- Serves as departmental backup for Ultratime bi-monthly departmental approval for all RecSports hourly employees.
RecSports Office Administration and Procurement
- Receives visitors to the RecSports administrative offices, both in person or on the telephone; provides support via email when able, and helps answer/triage questions
- Assists in coordinating meetings and staff-facing events for the RecSports staff, including making room reservations, catering orders, and being on-site as necessary.
- Receives, documents, and distributes RecSports packages and mail.
- Keeps accurate inventory and secures replacement supplies for the RecSports administrative and satellite office locations.
- Processes departmental purchases in compliance with the University’s BuyND & Procurement Card procedures
- Coordinates RecSports cash/check deposits with FirstSource Bank and documents through the Financial Toolkit
- Reviews and process refunds through the University’s TouchNet and Freedom Pay systems.
- Assists with processing expense reports for both RecSports professionals.
- Documents and pays received departmental invoices.
- Ability to run errands on campus when necessary.
- Assists the Associate Director and Facility Operations Coordinators with managing the Faculty Locker Room in the Joyce Center, including processing payments for yearly dues, distributing locker information, securing swipe-card access for users, and running daily Fusion reports.
- Other duties as assigned.
Additional Responsibilities and Duties
- Participate as an integral member of a large, multifaceted Student Development team interacting daily with colleagues in the Office of Community Standards, Family Resource Center, Student Activities Office, University Bands, and student media groups.

Minimum Qualifications
- High school diploma or GED
- 1-2 years of related experience
- Excellent interpersonal skills, both written and verbal
- Demonstrate strong leadership, customer service, team building, and decision-making skills
- Basic computer proficiency, including Microsoft Office and Google Suite

Preferred Qualifications
These qualifications are not required, but may increase the likelihood of being considered a top candidate:
- Associates or Bachelors degree
- 2+ years of experience in office coordination for a large, diverse team
- Possess a current CPR, AED, and First Aid Instructor certification, or the ability to obtain one
- Experience with Notre Dame’s BuyND, Payroll, UltraTime, Procurement, Accounts Payable and TravelND systems preferred
