Job Description
ADMINISTRATIVE ASSISTANT 2, Research Laboratory of Electronics, to provide comprehensive administrative support to Principal Investigator (PI) with teaching responsibilities and a large, active research group, with students, sponsors, researchers, other faculty and RLE Headquarters (HQ) staff. Will make travel arrangements; manage contacts and a complex calendar for PI; update PI’s CV; prepare course materials and documents; manage travel and other financial reimbursements and monitor deadlines; be point of contact for, and respond to, inquiries requiring an in-depth understanding of work area and MIT policies and procedures; take ownership of all PI assignments; ensure inquiries are addressed and resolved in a timely manner; compose correspondence; support the preparation of letters of recommendation, and other documents; make editorial changes in materials, including proofreading, limited rewriting, tables, and graphics; and independently check for accuracy of content by referencing a variety of sources and research and gather information for content; and draft work area materials such as briefings, newsletters, letters of recommendation, sponsor reports, research abstracts, professional conference materials, and other documents.
Job Requirements:REQUIRED: High School diploma or equivalent; a minimum of three years of secretarial, office, or related experience; robust organizational skills, fastidious attention to detail and the ability to prioritize, anticipate, and initiate administrative tasks; able to manage ambiguity and navigate change and confident under pressure; robust customer service orientation; resourceful when researching information for PI decision making; proven communication and interpersonal skills and ability to build relationships within the lab, with colleagues, external collaborators, and RLE HQ staff.
