Essential Job Duties
You should have knowledge of the AiM work management system, AERES (University Facilities Project Management System), CAPS (University Capital Project Accounting System), and current accounting and budget tracking software. Familiarity with university and departmental policies and procedures, along with the ability to explain and interpret financial information to various groups, is essential. Key responsibilities and duties include but not limited to:
- Manage requisitions, purchase orders, and voucher requests for all capital (CI) and non-CI projects
- Process invoices and pay applications for all capital (CI) and non-CI projects
- Update financial information in CAPS, PeopleSoft, AERES, spreadsheets, and Interscope
- Assist with project management and financial system updates, including testing and feedback
- Create project numbers and assist with mail and filing project paperwork
- Review and approve vouchers, requisitions, JV’s, and IDT’s for projects and departmental accounts
- Track OESAD usage and expenditures by fiscal year and report as needed
- Respond to inquiries from vendors, staff, accounts payable, purchasing, budget office, and project managers
- Maintain accounting records, reconcile accounts, verify ledger entries, and produce account reports
- Utilize knowledge of PeopleSoft, Wolf Reports, UNC-GA, OSBM, and SCO to ensure compliance with policies and procedures
Other Responsibilities
- Perform other duties as assigned by the supervisor
Minimum Experience/Education
Other Required Qualifications
- Must have the ability to follow directions, to work independently with some oversight, and to meet requested deadlines
- Excellent customer service skills and a professional demeanor are essential
- A strong attention to detail is required to process financial transactions accurately
- Business writing, budget management and accounting experience required
- Must be able to communicate effectively verbally with supervisors and the general public and understand verbal and written instructing and other communication’s regarding work assignments and other matters
Preferred Qualifications
- Progressive experience working in the field of accounting
- Ability to proficiently use Microsoft Office, AERES, Aim, WolfReports, People Soft, and CAPS and or current software for tracking accounting and budget data, email, word processing, spreadsheets, data base, and information collection is required
Required License or Certification
Valid NC Driver's License required
