Sr. Grants & Contracts Analyst

Job Description

We are seeking a Sr. Grants & Contracts Analyst who will support the pre -award and post administration for sponsored funding across the department of Ophthalmology and Dermatology, with a focus on clinical research. This position works alongside faculty and fellow colleagues to support pre-award activities. The primary goal is to ensure timely, accurate, and efficient proposal preparation for various sponsors and management of clinical awards through close-out. This position reports to the Clinical Research Finance Manager within Finance Administration.


Will work alongside a dedicated pre-award submission team to meet with investigators and develop proposals for submission to funding sponsors. The position requires reviewing proposal solicitations in detail to ensure all required formatting and documents for the submission are included. Pre-award functions include, but may not be limited to: proposal preparation and submission, budget development, working with potential sub awardees/subcontractors, preparing justifications of programmatic costs and preparing/maintaining other applicable documents for proposals such as other support pages, bio sketches, conflict of interest and regulatory documentation. This position will operate within a team as well as independently on a wide variety of grants/contracts and clinical research projects ranging from moderate to complex. This position will require great attention to detail and organization while juggling multiple, competing demands and adhering to deadlines. Excellent communication skills and a customer service minded focus are essential skills required to succeed in this position.


Will work independently a majority of the time, with support from Principal Investigator (PI) and/or senior management level grants & contract professionals on increasingly more complex grants/contracts. Will provide standard professional administrative level guidance on protocols, regulations and guidelines to PI and other scientific/research professionals within the departments. Will also interact with central and external research/administrative professionals.

Types of sponsored awards for which the position is responsible: This role functions at an advanced level, with responsibility for a variety of complex level grants/contracts, including those from NIH, DOD various foundations and pharmaceutical companies. These grants, contracts and clinical trials/fixed fees may involve highly detailed budgets, multiple projects, Cores and sub awards.


Specific Duties & Responsibilities

  • Partner with departmental faculty and/or central budgetary staff and the Office of Research Administration (ORA) toward the planning and development of application submissions to various federal offices, private agencies/foundations and commercial companies.
  • Will work directly with the application’s Principal Investigator, Co-Investigators and administrative staff to ensure effective, accurate and timely proposal development.
  • Understand and utilize institutional policies for pre-award grant process and sponsor guidelines.
  • Ensure that all of the proper information/documentation is uploaded into the designated application portal (ASSIST, Workspace, Fibi, etc).
  • Review all sponsored project proposals for assigned faculty prior to them being forwarded to the Grants & Contracts Manager and ORA for signature. Review involves accuracy, content, adherence to all relevant guidelines.
  • Provide instruction, preparation assistance and support related to grant application procedures to Principal Investigators (PI’s). Provide guidance to the PI in the interpretation and implications of applicable grants terms and conditions.
  • Serve as liaison between research units, central offices and funding agencies.
  • Review budgets and related justification for appropriateness and completeness of content. Ensures that all applicable and indirect costs have been applied. May also provide groundwork for subcontract negotiations.
  • Review of PRA for development of budget supporting the Clinical research team in relation to clinical research protocols.
  • Ensure compliance in all other areas related to grant and contract management, including sponsoring organization guidelines, internal protocols, accurate protocol information within grant documents, conflicts of interest, etc.
  • Responsible for tracking grant/contract proposals and other documentation through the signature/approval processes to provide regular updates to research team(s).
  • Responsible for vendor set up and payments to research participants.
  • Facilitate and/or produce specialized sponsored projects reports utilizing institutional or departmental systems (i.e., Fibi, Proposals/Awards/Funding Dashboard, etc.)
  • Manage all assigned clinical trial budgets/project accounts in OnCore to ensure accuracy of billing for protocol related activities and maintain a reconciliation of payments received to verify that all contracted payments have been received in a timely fashion.
  • Facilitates the submission of Protocol reporting with Sponsors to ensure that milestone deliverables are met in accordance with payment terms.
  • Prepare invoices, FSRs and other sponsor specific reports
  • Meet regularly with PI and trial coordinators to maximize revenue/resources
  • Report on Nexus monthly. Develop financial reviews for project forecasting
  • Submit labor allocation and expenditure transfers as needed.
  • Maintain ongoing updates and communications related to current grants and contracts, this includes regular auditing and reporting to principal investigators and departmental leadership.
  • Mentor / Train new Analysts within the role to educate on processes related to both the Pre- and Post-Award activities.
  • Be an Analysis and OnCore Super User to train and support other users in the Departments.
  • Report outcomes to Finance Manager and leadership upon request.


Minimum Qualifications
  • Bachelor's Degree.
  • Four years of related experience in sponsored research and/or financial positions, preferably in an academic or medical setting.
  • Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.

Starting Salary Range: $62,900 - $110,100 Annually (Commensurate with experience)
