Job Summary
The Program Support Specialist is the primary/front office point of contact as well as the travel/virtual workshop coordinator for the office. The Program Support Specialist greets and responds to in-person, phone and email inquiries directed to the Center for Professional Excellence (CPE) as well as assists students, faculty, staff and visitors. This position also manages incoming and out-going correspondence and assists the Office of Academic Affairs with coordination of meeting space. Work is performed using a high degree of flexibility and operating in a fast paced, high volume office.
This is a Title III grant funded position. Continued employment is contingent upon the availability of funding.
Responsibilities
- Provide exceptional customer service while performing administrative support functions
- Review all requests submitted to ensure compliance before Title III Director approval
- Responsible for submitting all requests for the office for purchases, supplies, travel, etc.
- Compose, type, edit, and distribute a variety of correspondence, presentations and office publications
- Maintain office calendar, schedule meetings, prepare agendas and meeting minutes
- Maintain filing systems and tracking system/logs
- Assist in developing and disseminating Title III¿s quarterly newsletters
- Responsible for the Title III webpage and the required updates and maintenance
- Responsible for updates to all Title III forms and handbooks
- Maintain inventory of office supplies and equipment
- Assist with annual grant applications and submission (collection of data, formatting, editing, etc.) to the Department of Education
- Serves as liaison for the Title III office between Purchasing, Fiscal Affairs, faculty and staff
- Assist Title III activity directors and their staff with submitting requests and responding to inquiries in a professional manner
- Assist with training Title III personnel on policies and procedures and develop internal processes that can strengthen the program
- Assist with data collection as needed for internal progress reports and tracks completion of Title III internal reports (time & efforts, quarterly progress reports, etc.)
- Compiles data to assist Director with completion and submission of Title III annual performance reports
- Conducts annual equipment inventory site visits, tagging and tracking of Title III equipment
- Coordinates external evaluation review
- Assists with supervising duties of student assistants
- May be required to perform job related duties other than those specifically delineated in this position
Required Qualifications
- Bachelor's degree or high school diploma with four (4) additional years of experience
- Five (5) years of office related (ex. administrative assistant, event organizer, administrative clerk, community engagement professional, graphic designer, etc.) experience
- Must possess high ability in follow-through, effective customer service and office organization
- Advanced skills in Microsoft Office applications (Charts, pivot tables, etc.) as well as additional web-based open source applications

- Knowledge of Board of Regents and Savannah State University policies and procedures
- Skills in positive communication, organizational and time management
- Skills in being customer-friendly and possess good interpersonal skills to interface with all levels of internal and external stakeholders

- Ability to work independently and use good judgment
